Merchant Verification & KYC

Why we verify

NS FLOW acts on merchants’ behalf with customers, carriers, processors, and card networks. To keep the platform trustworthy - and to meet our own legal, anti-money-laundering (AML), and card-network obligations - we verify who our merchants are and that their business is legitimate before we activate an account, and on an ongoing basis after. This policy is part of the Terms of Service and works together with the Acceptable Use Policy and the Fraud, Suspension & Termination policy.

Who must verify

Every merchant must complete verification, and so must the people who own or control the business - typically beneficial owners holding 25% or more, and directors or officers with signing authority. We may ask any authorized user on an account to confirm their identity and their authority to act for the business.

What we collect

Depending on your risk profile and applicable law, verification may require:

  • Business identity - legal entity name, registration or incorporation documents, business address, tax identification number, and your live store or website URL;
  • Ownership & control - the identities of beneficial owners and principal officers, government-issued photo ID for those individuals, and proof of address;
  • Financial details - the payment gateway or processor accounts you will connect, the bank account used for settlement, and, where relevant, prior processing and chargeback history;
  • Business model - what you sell, how you fulfill, your subscription and billing terms, and your refund and cancellation policy, so we can confirm it is a permitted use (see Acceptable Use Policy §02).

We handle everything collected here under our Privacy Policy, store it with the security measures described there, and keep it only as long as law and card-network rules require.

Screening

We screen merchants and their principals against sanctions, politically-exposed-person (PEP), and adverse-media lists, and against our own denylist of previously terminated accounts. We also screen the business model and products against the prohibited-and-restricted list in the Acceptable Use Policy. A match, or a business we cannot place on the right side of that line, will not be onboarded.

Risk-based verification tiers

Verification is proportionate to risk. Most merchants complete standard verification. We apply enhanced due diligence - additional documentation, source-of-funds questions, or a review call - where the risk is higher, for example unusually high volume, a high-chargeback vertical, complex or opaque ownership, or a higher-risk jurisdiction. We may cap activity, hold features, or require enhanced diligence to clear before lifting a cap.

Ongoing monitoring & re-verification

We do not verify once and forget. We may re-verify when:

  • your dispute or chargeback ratio approaches a network threshold;
  • order or processing volume changes sharply;
  • ownership, control, entity, bank, or processor details change;
  • fulfillment or tracking patterns look inconsistent with real shipping;
  • we receive an adverse signal, complaint, or law-enforcement request; or
  • a periodic refresh cycle falls due.

Your obligations

You must give accurate, complete, and current information, keep it up to date, and notify us within 10 days of any material change to your entity, ownership, bank, processor, or business model. You must cooperate promptly with verification requests. Providing false, forged, or misleading verification information is a serious breach and is grounds for immediate termination and reporting under the Fraud, Suspension & Termination policy.

If verification fails

If you cannot or will not complete verification, or if what we learn disqualifies you, we may decline to onboard you, suspend an active account, restrict features, or terminate. Where the law or an ongoing investigation limits what we can disclose, we may not be able to give a detailed reason. Any prepaid balances are handled under the Billing & Refunds policy, and records are retained as described in the Account Closure & Deletion policy.
